Privacy Policy

This Privacy Policy explains how Ziplined collects, uses, shares, and protects information when you visit our websites, use our client portal, or use our services.
Important note for business clients: For many services (especially the AI receptionist), Ziplined processes information on behalf of the client business. In those cases, the client business is the “controller/owner” of the data and is responsible for legal notices/consents and responding to data requests, and Ziplined acts as a service provider processing data under client direction. (Your Service Agreements may describe this in more detail.)
1. Who We Are
“Ziplined,” “we,” “us,” or “our” means Ahmed Ufuk Serce and Yusuf Kuru, individuals doing business as “Ziplined.” We may later assign these Terms and/or our rights/obligations to a successor entity (for example, a future LLC) as permitted by law and your applicable agreements.
2. Scope
This Policy applies to:
- Visitors to our public website(s);
- Users of the Ziplined Client Portal; and
- Information processed as part of Ziplined services (e.g., website hosting/care plans, AI receptionist).
It does not apply to third-party websites/services we do not control (e.g., Stripe, hosting providers, phone carriers). Those services have their own policies.
3. Information We Collect
3.1 Information you provide to us
Depending on how you interact with Ziplined, we may collect:
- Contact information: name, email, phone number, business name, business address, service area.
- Account information: login credentials (hashed), profile details, portal preferences.
- Billing information: payment method tokens and billing details via third-party payment processors (we generally do not store full card numbers).
- Support communications: messages, tickets, files, screenshots, and other content you send us.
- Website/client content (for web services): logos, images, text, brand assets, and other content provided for your website.
3.2 Information collected through the AI receptionist (processed for clients)
If a business client uses the AI receptionist, the service may collect and store:
- Caller/contact details: phone number, name (if provided), address/service location (if provided), service needed, urgency, preferred appointment time, and related notes.
- Communications content: call metadata (time/duration), SMS/MMS content, and message/call logs.
- Recordings/transcripts (if enabled/configured): voice recordings and/or transcriptions may be processed depending on client configuration and third-party provider capabilities.
- Booking/transfer details: call transfers, appointment bookings, and related routing outcomes.
The AI receptionist logs and captured lead information may be stored in the Client Portal as part of the service.
3.3 Automatically collected information (website/portal)
When you use our website/portal, we may automatically collect:
- Device and usage data: IP address, browser type, device identifiers, pages viewed, time spent, and referral URLs.
- Cookies and similar technologies: used for authentication, security, preferences, and analytics (see Section 9).
4. How We Use Information
We use information to:
- Provide, operate, maintain, and secure the website/portal and services.
- Create accounts, authenticate users, and provide client portal access.
- Process billing and payments and prevent fraud/chargebacks.
- Provide support, respond to requests, and communicate about updates.
- Configure services based on client-approved information and preferences.
- Monitor performance, troubleshoot, and improve products and service quality.
- Create aggregated/de-identified analytics for benchmarking, product improvement, and operational planning (without identifying individuals).
- Comply with legal obligations and enforce agreements.
6. Data Retention
We retain information as needed to provide services, meet legal obligations, resolve disputes, and enforce agreements.
Service-related retention (high level):
- For website hosting/care plan services, if service ends, we may delete site files/data/backups on or after ~45 days from suspension/termination, and backups/restores may not be guaranteed after suspension/termination.
- For AI receptionist services, logs/configuration may be retained during the term and may be deleted after termination as described in the service agreement, with limited archival retention for legal/tax/security/dispute purposes.
- We may retain minimal records (e.g., invoices, payment history, security logs) longer where required or reasonably needed.
7. Security
We use commercially reasonable measures to protect systems and information, but no method of transmission or storage is 100% secure and we cannot guarantee absolute security.
8. Your Rights and Choices
Depending on your location and applicable law, you may have rights to:
- Request access to, correction of, or deletion of certain personal information.
- Opt out of certain marketing communications (you can unsubscribe from emails; for SMS, follow opt-out instructions if provided).
- Restrict or object to certain processing (where applicable).
Business clients: If you are an end-customer/caller to a business using Ziplined's AI receptionist, requests about your information should generally be directed to that business (the “controller/owner”).
10. California Privacy Notice
If you are a California resident, you may have rights under applicable California privacy laws (as amended from time to time), including rights to know/access, delete, correct, and limit certain uses.
Categories of personal information we may collect include identifiers (name/email/phone), commercial information (billing history), internet activity (usage data), and audio/electronic information (call/SMS logs where applicable).
Purposes include providing services, security, analytics, and legal compliance (see Sections 4–5).
Sensitive information: We do not require customers/callers to provide sensitive data, and business clients should not configure the AI receptionist to collect sensitive data unless they have ensured compliance and safeguards.
To submit a request, contact us (Section 13). We may need to verify identity and/or authority to act.
11. International Users
If you access Ziplined from outside the United States, your information may be processed and stored in the U.S. and other countries where our vendors operate, subject to this Policy and applicable law.
12. Children’s Privacy
Our website/portal and services are not directed to children under 13, and we do not knowingly collect personal information from children under 13.
13. Changes to This Policy
We may update this Policy periodically. Changes are effective when posted with a revised “Last Updated” date.
